Check-list

Before the conference

  • Find people
  • Check validity of passports, US visas and transit visas (needed when transitting through UK and Canada) (may need $)
  • Submit company profile
  • Pay for the booth ($)
  • Order furniture (may need $)
  • Order electricity ($)
  • Order network (may need $)
  • Tickets ($)
  • Hotel ($)
  • Design posters: 4 or 5 A0 for a 10x10 booth (may need $)
  • Design leaflets
  • Print posters, 4 or 5 A0 laminated ($)
  • Print leaflets, 150-200 color print sheets each leaflet (may need $)
  • Prepare slide show (~30 slides)
  • Optional: prepare gadgets ($)
  • Allocate notebooks (at least 2)
  • Borrow a beamer
  • Borrow a tripod for posters
  • Prepare pins and clams and clips to hold posters on curtains (minor $, re-usable)
  • Prepare scotch-tape and brown tape ($)
  • Prepare for eventual GIN demos (walk-through with an expert)
  • Register booth personnel ($)

During the conference

  • Purchase screen for the slideshow (cardboard or plastic) ($)
  • Purchase racks for leaflets ($)
  • Take part in the space distribution meeting for next conference

After the conference

  • Come back in one piece
